FLSA Status: Full-time, exempt
Collage Dance, a fast-growing and mission-driven national nonprofit organization seeks an Events &
Rentals Manager to assist with all events and programming at the Andrea Louise Jenkins Center for
Dance. The Events & Rentals Manager is the primary production planner and executor of Collage Dance
events and serves as the initial point of contact for all facility rental inquiries. This position requires a
strong mix of client contact, event coordination, customer service, and organizational skills. The goal of
the position is to create high quality experiences that represent the organization and to generate event
rental revenue to support Collage’s mission driven work.
Key Responsibilities
● Manage the Collage Dance facility calendar, which includes company rehearsals, conservatory
classes, organizational events, and external event rentals.
● Work closely and collaboratively with the marketing, development, community engagement and
artistic teams to support the planning and implementation of Collage Dance events.
● Work closely with external facility rental clients to discuss plans and concepts, identifying event
requirements and client expectations. Provide orientations and tours of event spaces to rental
clients.
● Monitor events in progress to ensure compliance with regulations, contracts, staffing levels,
building security, guest safety and client satisfaction, and day-of event support.
● Manage facility rental agreements and invoicing. Manage event tracking system and
documentation.
● Manage event set-up, tear down, and follow-up processes.
● Arrange for tech and facility support for events, including scheduling AV Tech staff, bartenders,
requesting facility assistance on tables and chairs, and arranging for catering when applicable.
● Assess an event’s overall success and submit findings to senior management.
● Keep abreast of the state of the facilities, including overseeing inventory and maintaining
equipment in good working order, including tables, chairs, banquet materials, linens, etc.
● Train event staff on event protocols and procedures, vet new event staff and volunteers.
● Follow all security and safety protocols and create/maintain event production protocols.
● Proactively cultivate relationships in the city and elevate the profile of the Center as a premiere
venue.
● Represent Collage, when necessary, in key meetings and conversations where the Center can
serve as a viable event solution.
● Manage event rentals marketing materials and ensure inventory, like one sheets and popups are
up-to-date and useful for revenue goals.
● Other Administrative duties and projects as assigned.
Expected Hours of Work
The schedule for the Events and Rentals Manager is variable, changing with the events calendar. Evening
and weekend work are required.
Qualifications
● Bachelor’s Degree in Production Management, Arts Management, Event Management, or related
field.
● 3+ years of experience as a manager/administrator/supervisor.
● Proven budgeting and financial management skills.
● Experience working with performing arts entities.
● Outstanding customer service skills and the ability to manage multiple tasks with high energy and
strong problem-solving skills.
● Ability to communicate with clients, staff, and vendors professionally and efficiently
● Must be able to assess priorities and be adaptable to changing business situations and
environments quickly and accurately.
● Proficiency in Microsoft Office Suite.
● Competency in setting up and utilizing basic audio-visual equipment.
● Ability to work flexible and variable hours, including some evenings, weekends, and holidays
depending on scheduled events and rentals.
